How to Respond to a Bad Google Review (The Right Way)

A bad review isn't the disaster it feels like in the moment. What actually determines the damage isn't the review itself, it's the response sitting underneath it, which future customers read just as closely.

Respond quickly, but not immediately

A same-day response signals an engaged business. A response written in the first angry minutes after seeing it usually reads that way too. Give it an hour if you need to, then respond, don't let it sit for a week.

Acknowledge before you explain

The instinct is to jump straight to context or a correction. Start instead with a simple acknowledgment that the customer had a bad experience, even if you disagree with their account of it. Skipping straight to defense reads as dismissive to everyone else reading along.

Keep the details out of the public response

A back-and-forth about specific dates, prices, or he-said-she-said details in the public comments rarely helps and often makes things look worse to onlookers. Acknowledge the issue publicly, then invite them to continue the conversation by phone or email, and actually follow up when they do.

Never argue, and never get personal

Even a fully justified correction can read badly if the tone slips into defensive or sarcastic. Future customers aren't judging who was "right", they're judging how the business handles a bad day, so a calm, professional tone matters more than winning the point.

A simple template that works

"Hi [name], sorry to hear the [job] didn't go the way you expected. We'd like to understand what happened and make it right, if you're open to it, please give us a call at [number]." Short, non-defensive, and it moves the conversation somewhere productive.

Prevention beats response

The best answer to a bad review is catching the unhappy customer before it's posted publicly at all.
